Application documents

Have you decided on an application phase and would like to apply? To do this, you must upload your application documents to the Mobility Online application portal before the respective application deadlines.

If you were already accepted for an exchange semester in an earlier round of applications, you can only apply for the remaining semester in later application rounds. Example: Application round I: accepted for exchange in winter semester 2020/21, Application round II: application only possible for summer semester 2021.

The application documents will be used exclusively for the university’s internal application process and will not be forwarded to the partner university.

A complete application consists in the online application including uploads of all required documents

Required application documents

1. Application form (PDF generation from the online form)

The first step is to complete the online application form during the applicable application phase.  After completing and sending the online application form, you will automatically receive personal login details for the Mobility Online portal by email. You will then be able download your application form and upload the remaining required documents.

Online application forms:

  •     Application round I: Application round closed!
  •     Application round II: Application round closed!
  •     Application round III: Current information: Due to the current situation, the application round III for exchange places at partner universities overseas will unfortunately not be carried out in the summer semester 2020. The next opportunity to apply for a semester abroad at a partner university of Paderborn University will be in the winter semester.

If you have any technical questions or problems with the application system, please contact the technical support directly at io-outgoing[at]zv.upb.de.

2. Tabular CV in German and in the teaching language(s)

The CV should be no more than 2 pages and in tabular format. Alongside your personal information, it is recommended that you highlight your particular interests and extracurricular activities such as involvement in organisations. Copies of school certificates, work and internship references etc. are not required.

The document must be written in German and additionally in at least one of the teaching languages of each of the selected universities. For example, if you are applying to a partner university where English is the language of teaching and to another partner university where Spanish is the language of teaching, you must submit the CV in German, English and Spanish.

3. Letter of motivation in German and in the teaching language(s)

The letter of motivation should be no more than 2 pages. If you are applying to more than one university in any given application period, you should include a general section explaining your motivation for spending a semester abroad. Please describe the focus areas of your studies so far and your plans for continuing your studies abroad. You should also state your reasons for applying to the selected universities in the order of priority. You don’t yet need to provide detailed information on the courses you wish to take.

The document must be written in German and additionally in at least one of the teaching languages of the selected universities. If for example you are applying to a partner university where English is the language of teaching and to another partner university where Spanish is the language of teaching, you must submit the CV in German, English and Spanish.

4. Transcript of records

If for any reason you are unable to print your transcript of records directly from PAUL, you can request a certificate of your previous exam results and a confirmation of your current exam registrations from the Central Examination Office.  In many courses of study you can request this certificate by email from the Central Examination Office. It will then be made available to you to download from PAUL. The document is valid without a signature.

For the internal application process at Paderborn University it is not necessary to submit your transcript of records in the language of teaching.

Important for Master degree students: Please also include the transcript of records for your bachelor’s degree in your application documents.

5. Evidence of language skills (for exceptions see below)

Your application must include proof of your language skills in the teaching language(s) of the relevant partner universities. You can provide proof of language skills either through a recognised language certificate (TOEFL, IELTS, Cambridge, DELE, DELF/DALF, UNIcert®) or through a DAAD language certificate. Other certificates or confirmations (e.g. Abitur / A-Level certificates) will not be accepted for the application.

For the purpose of your initial application, a DAAD language certificate (or comparable) will suffice.  The partner university may request a further internationally-recognised language certificate from those applicants who have been accepted and nominated for an exchange semester. Further information on the requirements of the individual partner universities can be found on their websites.

DAAD Language Certificate:
The Centre for Language Studies (ZFS) will advise you on the various options for achieving a DAAD language certificate. Please be aware of the individual regulations for each course of study and allow sufficient time.
Students who are unable to provide a complete DAAD language certificate by the application deadline due to inconvenient scheduling of the language exams, should upload the results of the level assessment (computer-based section). The DAAD language certificate must be submitted by the selection interview at the latest.

Language certificate and language level:
Information about the course languages and the language level required by the host university can be found in our database (click on the information icon on the left to view information on each partner university).

Proof of language skills must be submitted for at least one of the tuition languages at the partner university.  Example 1: University X: courses are taught in English and Spanish; University Y: courses are taught in English and French -> it is sufficient to show proof of English language skills. Example 2: University A: courses are taught in English and Spanish; University B: courses are taught in French -> proof of language skills for English or Spanish and for French are required.

Exceptions - When is it not necessary to submit proof of language skills?

  1. Native speakers:
If courses are taught in your native language, you do not need to submit a language certificate.

  2. Romance Studies:
Students studying Romance Studies are a special case: No additional language certificate is required for the internal application at Paderborn University. It is sufficient to submit your transcript of records or grade list (including the linguistic modules).

  3. English and American Studies:
The following applies to students of English or American Studies: If it is evident from your transcript of records that you have successfully completed the course CLC Intermediate or passed CLC Elementary with an overall mark of 2.7 or better, it is not necessary to submit an additional language certificate for the internal application at Paderborn University. If this requirement is not fulfilled according to your transcript of records, you must submit a DAAD (or comparable) language certificate.

  4. Exception for application round I:
IBS students who cannot yet submit the DAAD language certificate because the exam is not scheduled until the end of the semester, may submit their language certificate at a later date. Please upload a brief explanation in place of the language certificate.
