Funding and promotion by Erasmus+

I would like to apply for an Erasmus+ grant for further training and educational purposes (STT) or a for a mobility for teaching staff (STA). Can such trips be started and funded at the moment? What do I have to consider?

I would like to apply for an Erasmus+ grant for further training and educational purposes (STT) or a for a mobility for teaching staff (STA). Can such trips be started and funded at the moment? What do I have to consider?

It is now possible again to apply for and recieve an Erasmus+ grant.

In the Erasmus+ program, health and safety are top priorities. Please inform yourself in detail about the situation in the host country and at the host institution. Please also take into account possible travel restrictions, the travel warnings of the German Foreign Office including the regulations for returning to Germany from your destination area, the recommendations of the RKI and the official regulations at your destination. It is imperative that you inform yourself about the latest entry regulations at the representative of your destination before you start your trip.

You should also inform yourself about the current regulations of Paderborn University regarding the approval of business travel during the Corona pandemic and the possible later revocation of a business travel approval that had already been granted, should your destination be declared a risk area


The issuance of a Grant Agreement for funding by the International Office only means that your project fulfills the eligibility requirements of the Erasmus+ program and will therefore be funded when it is carried out. The issuance of a Grant Agreement does not constitute a travel recommendation or business travel approval. It is your responsibility to inform yourself about the current situation at your destination, the current relevant regulations and possible restrictions as well as the risks and to decide whether you want to implement an Erasmus+ Mobility under the current circumstances.

At the present time, it is not possible to predict how the situation will develop worldwide. It is possible that the host institution will cancel the project on its own initiative, or that there are entry restrictions for your host country at the time of your departure. To avoid unnecessary costs due to cancellations etc., you should wait with travel bookings and conclude a travel cancellation insurance. If you receive financial support through Erasmus+, you are obliged to minimize the costs. This means that you will only be reimbursed for unavoidable costs. See also the other sections.

It is essential that you observe the current regulations of the travel cost center (Reisekostenstelle) of Paderborn University for the approval of business trips during the Corona period. You can check the current regulations for example on the basis of the information of the University Borad on the coronavirus (sub-item "Business trips and general travel activities", accessible via this link).


Also check whether your travel cancellation insurance or your international health insurance includes a pandemic clause that excludes reimbursement. Please also read the others answers in the "Financing/Funding" section.


The DAAD urges travelers to inform themselves about any travel warnings issued by the German Foreign Office before they begin their trip.


When you start your trip, enter your name in the Federal Foreign Office's crisis prevention list ELEFAND (only German nationals). When you leave your host country, you must unregister accordingly.
The European Commission and the DAAD strongly urge all participants in Erasmus+ to adhere to the prevention measures of the local authorities as well as the guidelines of the host institutions.

Generally, you are obliged to minimize the costs, e.g. by concluding a travel cancellation insurance. As soon as it is clear that a mobility cannot be carried out, you are also obliged to check and document all cancellation and reimbursement possibilities and to keep the costs as low as possible.


If your trip cannot be cancelled without additional costs, the European Commission, in connection with Corona and only under certain conditions, allows the reimbursement of actual accommodation and travel costs incurred in connection with the planned mobility. Please document your costs very carefully.

In order to be able to apply for a reimbursement, you must first apply for all possibilities of cancellation or reimbursement from other sources (airline, hotel, insurance, etc.) and document this. You can only apply for reimbursement for costs that you can prove have not been reimbursed by other parties. Please also note that in order to apply for a refund, all documents must be submitted in original and on paper. Documents not in German or English must be translated.

From the beginning onwards, your mobility was a planned to take place virtually.
You cannot be supported financially. Please hand in your Confirmation of Participation.

 

Mobility started in physical attendance and continues virtually (Participation in host country)

Mobility started in physical attendance and continues virtually (Participation in host country)

Your mobility was planned in personal attendance and/or with blended learning. You have traveled to the host country in order to participate physically. After commencement, your
mobility was changed to virtual arrangements. You stay in the host country and teach from your home office/virtually. For educational purposes, you can be supported financially during the duration of stay. Please hand in your Confirmation of Participation and you travel documents.

Mobility started in physical attendance in your host country. You have decided to travel to Germany but still participate in your host institution’s online arrangements

Mobility started in physical attendance in your host country. You have decided to travel to Germany but still participate in your host institution’s online arrangements

Mobility started physically in your host country but you have travelled back to Germany due to COVID. You still participate in virtual arrangements of you host institution and your
activities contribute to achievements as stated in the Mobility Agreement. Please ask your host institution to confirm your virtual participation in your Confirmation of Participation. You can be supported financially until the end of your participation in virtual arrangements. Please hand in your Confirmation of Participation and your travel documents.

Mobility started physically in your host country but you have decided to cancel your stay and your activity at your host institution

Mobility started physically in your host country but you have decided to cancel your stay and your activity at your host institution

Your mobility started in your host country where you participated either in person, virtually or in forms of blended learning. Due to COVID, you have decided to cancel your stay. Due
to either personal or institutional reasons, you cannot participate in virtual arrangements from Germany. You can be supported financially exactly until the day on which you have cancelled your mobility. If you have any expenses such as rent, electricity costs or public transport, your individual case has to be checked. Therefore, please hand in your Confirmation of Participation, travel documents, original bills and invoices. Please note that the invoices need to be in English or German, otherwise you are required to translate them.

Starting the mobility in Germany in virtual arrangements is not supported financially. Financial support is only possible, if the mobility started in the host country for educational purposes. If  you decide to cancel your physical stay due to COVID and return to Germany, the above mentioned rules are applicable. Please hand in your Confirmation of Participation and your travel documents.

If you hand in your travel documents to proof your expenses in order to be financially supported due to COVID, please make sure to hand in the original document in hard copy. As the  circumstances require, the documents might have to be translated in either English or German.
