You will be informed immediately by us if your host university cancels the exchange or switches to online learning only (as soon as we become aware of this). Unless you or the host university cancels the exchange, your existing nomination will be maintained. Should you wish to cancel your stay and have not yet informed us, please inform us immediately.

Start of the exchange

Can I travel to my target country?

The University of Paderborn recommends neither for nor against the start of the exchange program. Therefore, the decision is solely up to you.

You should be extra cautious and inform yourself enough before your trip. However, several countries have restricted entry. Whether these restrictions will still apply at the time of your departure cannot be predicted. 

Follow the information from the Federal Foreign Office regarding current travel warnings and tips as well as news from your destination country very closely.  If necessary, the partner university can provide more detailed information about the situation. The European Commission and the DAAD urge all parties involved to adhere to the prevention measures of the local authorities as well as the guidelines by your university at home.

Please check with the representative of your destination for the latest entry regulations before you start your journey.

Can I start my stay abroad at my target institution?

Whether or not you can begin your stay abroad depends on the circumstances in the target country. Many host universities have switched to online teaching, others continue to operate normally. Please check carefully whether the stay is appropriate under the given circumstances. If we receive information that a partner university is discontinuing all or part of its operations or switching to online teaching, we will inform you.

Regardless of this, please keep yourself regularly updated about the situation at the partner university/ in the target country. If you get any information from the partner university that your mobility will change, please let us know immediately. Please also note the information below.

I would like to start my stay abroad despite the corona pandemic. What do I need to know?

At the moment it is not possible to predict how the situation will develop. The partner university may cancel the exchange on its initiative or have entry restrictions for the target country at the time of your departure. To avoid unnecessary costs due to cancellations etc., you should wait with travel bookings and complete a travel cancellation insurance. If you are financially supported (Erasmus+, PROMOS, etc.), you are obliged to minimize the damage. This means that only unavoidable costs will be refunded. See also the section on funding.

However, check whether your travel cancellation insurance or your international health insurance includes a pandemic clause that excludes reimbursement. Please make sure that you have sufficient insurance coverage when staying in areas with travel warnings and in pandemic cases. Also, read the answers in the section "Funding and Promotion".

The DAAD urges travellers to inform themselves about any travel warnings issued by the Federal Foreign Office before starting their journey.

When you start your trip, enter your name in the Federal Foreign Office's ELEFAND crisis prevention list (german citizens only). When you leave your host country, you must deregister accordingly.

Cancellation and postponement of stay

I would like to cancel my stay abroad due to the corona pandemic. What do I have to keep in mind?

If the partner university cancels the stay (not you), please follow the relevant instructions below.

If you wish to cancel your stay abroad on your initiative, please inform us immediately. If you cancel the stay on your initiative, we cannot postpone your mobility to another semester. However, you can reapply at a later date, even for a stay at the same partner university.

If you have received or applied for a scholarship, please also see the information on the funding below.

Please also inform the Studierendenwerk of any changes in the provision of accommodation that arise in connection with a postponement or cancellation.

If you have already applied for a leave of absence, please remember to cancel it. Please contact the Service Center to do so.

The partner university has canceled the physical exchange but offers a virtual exchange via digital learning opportunities. What do I have to consider here?

Clarify with the partner university which offers you can take advantage of under which conditions. Further, clarify with your faculty questions regarding the recognition of digital offers of the partner university.

The partner university has cancelled my stay that was planned for the winter semester. Can I postpone my stay to another semester?

Please inform us immediately of any cancellation by the partner university.

It may be possible to postpone your stay to the immediately following summer semester. We will then make every effort to clarify whether and how your stay abroad can take place. If you intend to postpone your stay to the following academic year, please note the information in this FAQ.

Please inform the Studierendenwerk of any changes in the provision of accommodation that arise in connection with a postponement or cancellation.

Is it possible to postpone my stay until the next academic year?

No, it is not possible to postpone your stay to another academic year. However, you can reapply for the same institution in a later application round.

 

The partner university has cancelled my stay. Can I attend another partner institution?

No, unfortunately, this is not possible. You can apply for another exchange place at another institution in a later application round or consider alternative options for going abroad.

 

My host university decides to postpone the exchange from the winter term to the following summer term. What do I have to consider?

If you can or would like to go to the partner university in the immediately following summer semester, the exchange will be postponed until then. Please let us know right away. The prerequisite for a postponement is that an adequate course offer exists. It is your resposibiliy to make sure that the postponement is feasible academically. Please consult your this with your faculty. Please note that semester times at your host institution may differ considerably from semester times of Paderborn University.

If you do not accept the partner university's postponement offer and do not want or are not able to participate in the summer term (e.g. for reasons of study progress), the exchange will be cancelled.

The partner university has cancelled stays for the entire academic year, including the summer semester. Can I postpone my stay to the following academic year?

It is not possible to postpone your stay to another academic year; the exchanges are cancelled. However, you can reapply. If you intend to postpone your application until the following academic year, please refer to the information in this FAQ.

Erasmus+ Funding

Virtual mobility started and continued from Germany

From the beginning, mobility was planned as virtual mobility with participation only from Germany. You are not eligible for financial support. Clarify with your faculty in good time any questions regarding the recognition of digital courses offered by the host university. (Documents to be submitted: Confirmation of Participation)

 

Mobility started in the host country and continued in the host country

The mobility was planned in presence (or with blended learning) and you travelled to the host country to participate from there. After the start of the mobility, it was switched to virtual mobility. You stay in the host country and participate in the virtual events/work from the home office. You can be funded for the duration of your stay for study/placement purposes. (Documents to be submitted: Confirmation of Participation (study)/Learning Agreement after the Mobility (internship), travel documents if applicable)

 

Start of physical mobility in the host country, followed by virtual continuation of the study/placement at the host institution from Germany

You were physically in the host country to participate in physical, virtual or blended mobility from there. Then you travel back to Germany due to Corona. However, you continue to participate in virtual activities of the host institution from Germany and the courses/contents contribute to the achievement of the learning objectives as set out in the Learning Agreement.

Have the dates for physical and virtual participation confirmed by the host institution. You can be funded until the end of your virtual participation in activities of the host institution. (Documents to be submitted: Confirmation of Participation (study)/Learning Agreement after the Mobility (work placement), travel documents if applicable)

Start of physical mobility in the host country, termination of the stay and study/placement at the host institution

You were physically in the host country to participate in physical, virtual or blended mobility from there. Due to Corona you discontinue your stay on site and cannot or do not wish to continue to study/work virtually from Germany at the host institution.

You can be funded to the exact day until you terminate your stay. If you still have expenses which are directly and exclusively connected with your Erasmus stay in this country after your discontinuation (e.g. rent, electricity, public transport season tickets), it must be examined on a case-by-case basis whether such costs can be reimbursed. (Documents to be submitted: Confirmation of Participation (study)/Learning Agreement after the Mobility (internship), travel documents, any other supporting documents - supporting documents for costs must be available in German or English, possibly you will need to have them translated).

Mobility started virtually from Germany, then start of a physical stay in the host country

The virtual start from Germany is not eligible for funding. Financial support is possible from the start of physical mobility for study/internship purposes in the host country. If, after the start of the physical phase, you have to discontinue it due to corona and return to Germany, the above-mentioned regulations apply (documents to be submitted: Confirmation of Participation (study)/Learning Agreement after the Mobility (internship), travel documents)

 

Physical mobility is planned (either from the beginning of the semester/internship or as a physical phase following a virtual phase from the home country), but cannot begin shortly before departure due to corona

In principle, you are obliged to reduce the damage, e.g. by acquiring travel cancellation insurance. As soon as it is clear that a mobility cannot be commenced, you are also obliged to check cancellation and reimbursement possibilities and to keep the costs as low as possible.
If you already have a valid Grant Agreement and have already incurred travel costs in connection with the planned mobility (e.g. flight tickets) or accommodation costs, the costs incurred may, under certain conditions, be reimbursed up to a maximum of the grant amount specified in the Grant Agreement or offset against any instalment already paid.
Proof must be provided that a cost-neutral cancellation or reimbursement of costs has been requested by the travel provider, insurance or other sources and that this request has been rejected. Only costs with this proof can be considered.
These regulations only apply in connection with Corona.

I have recently completed my studies and would like to do an internship abroad. What about the Erasmus+ grant?

Erasmus+ graduate traineeships are normally only available to graduates who have completed a traineeship within 12 months of graduation. Graduates who have to postpone their planned internship abroad due to the corona pandemic can commence their planned internship within 18 months after graduation instead of the usual 12 months.

 

Erasmus+ Contingent

Virtual mobility periods in the home country without Erasmus+ funding are not counted into the in the Erasmus+ contingent of 12 months per study cycle.

 

PROMOS Funding

I am going abroad in a non-European country during the winter term 2020 and would like to apply for a PROMOS grant. Is this still possible despite the corona pandemic?

Yes, you can apply for a PROMOS partial scholarship during the application period. Please note that sponsorship commitments are made subject to the current situation to the start of the exchange semester. Grant approvals can only be issued for countries or regions for which there is no travel warning from the German Foreign Office. Should a travel warning come into effect during the stay, scholarship holders must report this immediately to the International Office, as PROMOS funding must end as soon as the travel warning is effective.

Up-to-date information on travel warnings can be found on the website of the German Foreign Office.

Funding commitments are currently made no earlier than four weeks before the start of the internship.

I receive PROMOS funding for my exchange semester/ internship. Can I also receive funding if I can attend my exchange semester/ internship digitally only?

No, at the moment, PROMOS funding is tied to a stay at the host institution.
